VENDOR RULES & GENERAL INFORMATION
Vendor Set Up Times:
Wednesday, August 27, 2025 from 10am to 5:00 pm if scheduled.
Thursday, August 28, 2025 from 12 pm to 5:00 pm. KC's Kids will be on the grounds in the morning 9am-1pm. Everyone is to be extra careful. no in & out traffic. Pageant is Thursday night and we do not want to distract from their experience so no outside set up after 5:00 pm.
Friday, August 29, 2025 from 8:00 am to 4:00 pm. We open the gates at 5:00 pm.
Any special request will be considered if it doesn't interfere with other events. You must make arrangements ahead of time with Vendor Coordinator.
Note: If you are a food vendor, the Health Inspector & Fire Inspector will be on the grounds to do inspections by 1:00 pm. Your booth must be set up, clean and ready to go for that inspection. Anyone that does not pass that inspection will not be allowed to open for the weekend.
Note: Please watch carefully on Thursday morning due to 400 +/- people on the grounds for KC Kid's. This is a special needs program that requires extra caution.
Vendor packets with space assignments will be available at check in.
All fees need to be paid in by Friday, August 1, 2025. No One will be allowed to check in if all fees are not paid in advance. No payments will be taken the day of check in. Cancellations must be made prior to August 1, 2025 for a full refund.
Commercial & Arts& Crafts Vendors:
Inside booths with high backs will be placed along the walls or asked to remove portions of their backdrops to allow for airflow. We try to create circulation that keeps everyone comfortable during our Texas summers.
Vendors must park in designated parking as required by the organization to protect all of our guest.
We will do our best to manage the types of products and services offered so that everyone has a chance to make money. The KCFA reserves the right to restrict the types and numbers of entries.
Food Vendors:
Our Food Vendor Selection will be made as applications are submitted and fees paid in full. We will do our best to manage the types of products and services offered so that everyone has a chance to make money. Therefore only 2 vendors for each types cuisine will be allowed. You may only serve the items preapproved by our Vendor Team. This does include Lemonade! The KCFA reserves the right to restrict the types and numbers of entries. Any vendor that does not turn in the required food permit and fire permit paperwork including photos by August 1st, 2025 will not be eligible for a vendor booth. All vendors must pass inspection, No refund will be given due to a vendor not passing health or fire inspections.
Vendors cannot sell bottled water or sodas. Items containing alcohol must have special permissions and permits and is very limited.
Food vendors are encouraged to stay open until at least midnight when the evening entertainment is ending.

General Instructions:
Vendors needing electricity can purchase it for a fee. The KCFA will provide access to (1) 120v Duplex outlet with a fee.
20 AMP for a $50.00 fee or 30 AMP service for a $100.00 fee or 50 AMP
service for a $150.00 fee.
Each Vendor who is using electricity needs to provide their own #12 UL tagged extension cord (No Home Made Cords). Cords must be in good working order. KCFA reserves the right to remove any cords deemed unsafe or undersized.
Cords can be rented from KCFA for a fee of $75.00 with a $100.00 refundable deposit. Prior arrangements must be made to assure their availability.
Vendors are to stay out of electrical panels and off KCFA ladders.
No garage sale items allowed.
Vendor Breakdown:
Clean up and Breakdown Will Be Monday After 8:00 A.M. or Sunday after we close (As long as it doesn’t interrupt with fair activities, and is completed by closing).
Leave Your Area Clean and Free of Trash. Dumpsters are provided.
Vendors must stay open the entire time of the set hours for The Mercantiles.
Friday 5:00 pm – 10:00 pm - Food Vendors are encouraged to stay open until midnight.
Saturday 11:00 am – 10:00 pm - Food Vendors are encouraged to stay open until midnight.
Sunday 12 noon – 10:00 pm - Food Vendors are encouraged to stay open until midnight.
There are many events that happen at the Fair Grounds prior to the start of the actual Fair. The Board of Directors and a multitude of volunteers are busy the entire week prior. The Queen’s Contest is on Thursday night, KC’s Kids is Thursday morning and livestock starts arriving Friday afternoon. We will do our best to accommodate your special request if they do not negatively affect these other events.
